How tasks work, in plain numbers

A task is one finished piece of work from one of your staff. Your plan includes a number of tasks each month. This page shows exactly what counts, so you can work out your usage before you start.

1Quick workReplies, entries and notes
2Written piecesEmails, posts, drafts and documents
5Big jobsArticles, research and design
½Assistant chatPer message to your office assistant

The rule: the price depends on the staff member, not on length

We do not count words. Each type of staff member has a fixed task price for each piece of work, so you always know the cost before you press the button. A short email from the Email support staff and a long one both cost 2 tasks.

What counts and what does not

Counts as a task

  • Each draft a staff member writes for you
  • A new draft you ask for. It is a new piece of work.
  • A draft you reject. The work was already done.
  • Assistant chat messages, half a task each

Free, never counted

  • Reading, approving or rejecting your approval queue
  • Activity log, usage page, reports and weekly emails
  • Customising your office: logo, theme, staff names
  • Chatting with Colleo support about how Colleo works

Your tasks reset at the start of each month. Unused tasks do not carry over. Your dashboard warns you at 70% and 90% used.

If you reach your limit

Nothing is lost

New drafts pause with a clear message. Everything already done stays in your queue, activity log and reports.

Add tasks or upgrade

Add a top-up pack any time, or move to a bigger plan. Top-up tasks are used after your monthly tasks and last 60 days. The price of each pack is shown before you buy.

Where you see your usage

Your dashboard shows tasks used against your plan, tasks per staff member and tasks per day. The weekly email repeats the totals, so you do not have to check.

Questions we hear

Why not charge by word count?

Because you could not predict it. A fixed price for each type of work means you can count your month in advance.

Do my tasks expire?

Your monthly tasks reset at the start of each month and do not carry over. Tasks you buy as a top-up last 60 days and are used after your monthly tasks. Your dashboard shows how many are left.

Do I pay for a draft I reject?

Yes. The staff member did the work, and it used the AI. If drafts keep missing, tell us. It usually means the staff needs a better brief.

Do staff work on their own and use up my tasks?

Staff only write when there is something to answer or a job you gave them. Nothing goes out without your approval unless you allow it for low-risk work.

Still unsure what you would use?

Tell us what your business does and we will work out the tasks with you before you pay.
